Once HR enters the hire in Workday, provisioning is automatic — account, mailbox, licences, standard access and the device order all trigger from the HR record. This checklist covers the parts that still need a manager’s input.
Automatic (no action needed)
- Account and mailbox created 5 days before start date
- Standard licences and role-based application access from the job code
- Laptop ordered and shipped to the selected site
- Welcome email with first-login instructions sent to the personal address
Manager actions (in the portal, before start date)
- Confirm or change the device profile (standard / developer / field) — 10 days before start
- Add non-standard application access with justification — 5 days before
- Nominate a buddy for the first-week checklist — any time
- For remote starters: confirm the shipping address — 10 days before
Day-one timeline
The starter signs in with the temporary credential from the welcome email, completes MFA enrolment, and Autopilot builds the device in 25–40 minutes. If anything in that chain fails, the service desk treats new-starter issues as priority 2 — reference the starter’s employee ID when calling.
